The Examination Control Division (ECD) at the Institute of Engineering (IOE), Tribhuvan University is responsible for a massive examination management operation within IOE. It oversees bi-annual semester exams for undergraduate and postgraduate engineering students across its five main campuses and ten affiliated colleges, covering a variety of streams. This includes Bachelor’s, Master’s, and PhD level exams, as well as entrance exams for both Bachelor’s and Master’s programs.
Some of the major challenges faced by ECD are:
• Managing exam registrations, creating exam centers, and generating roll numbers and admit cards.
• Collecting and processing internal marks and ensuring secure result processing.
• Transporting exam materials securely and ensuring they reach the right locations.
• Coordinating coding and decoding of answer sheets and result publication.
The current manual system has become increasingly complex and time-consuming as student numbers and programs continue to grow. An outdated Oracle system still handles result processing for Bachelor’s level, which poses risks of system failure and demands labor-intensive manual tasks for verification and entry, slowing down operations.
To address these issues, IOE has decided to automate the examination management process for efficiency and security. The Department of Electronics and Computer Engineering (DOECE) at IOE Pulchowk Campus has been assigned to develop this system, beginning with a marks entry and result processing module. The project is expected to reduce reliance on manual processes and improve speed, transparency, and reliability in exam administration.

• Minimize redundant workload of ECD employees.
